Guide
What does a 3CX phone system cost in Kenya?
Four things: a 3CX licence that renews each year, somewhere for the system to run, a one-off setup, and support afterwards if you want it. What each comes to depends on how many calls you need at once, where the system runs and how much help you want, and a quote puts a figure in shillings on every line. Your calls are billed separately, by the provider of your phone line.
The four lines on a quote
The licence
Sized by calls at once, renewed each year.
Where it runs
Our hosting, or your own server or cloud account.
Setup
A fixed package, paid once.
Support
A monthly plan, or tickets as you need them.
1. The licence
A 3CX licence is sized by the number of calls that can happen at the same time, not by the number of people. Most offices have only a fraction of their staff on the phone together, which is why the smallest licence, 4 calls at once, covers up to 15 users.
Three things move its cost:
- More calls at once. Your busiest hour sets the size.
- More people. Each size covers a maximum number of users, so hiring can push you up a size even when the calls have not grown.
- The edition. Queues, call recording and the CRM start at Pro. The AI receptionist and call transcription need AI. What each edition includes.
| Calls at once | Users it covers |
|---|---|
| 4 | Up to 15 |
| 8 | Up to 40 |
| 16 | Up to 80 |
| 24 | Up to 120 |
| 32 | Up to 192 |
| 48 | Up to 288 |
| 64 | Up to 384 |
2. Where it runs
3CX Cloud Hosting in Nairobi
A hosting plan, monthly or yearly, for a dedicated server, sized by your licence's calls. Updates and backups are part of it.
On your own server or cloud
You pay for the machine: a server at your site, bought once, with a UPS to keep it running through a power cut, or your cloud provider's monthly bill for one in your own account. A support plan from us is optional.
3 and 4. Setup and support
Setup, once
A fixed package, sized to what you need built: Quick Start for up to ten extensions, about 3 hours of engineering; Business for up to 25, with queues, about 8; Contact Centre for up to 100, with reporting and a CRM, about 20. Add-ons cover the rest. Moving off an old system is part of Contact Centre; with the smaller packages, we quote it after the survey.
Support, afterwards
A plan, Essential, Business or Premium, paid monthly or yearly, with response times in writing; or, if you need help only now and then, on-demand support, one price for one issue.
Outside the quote: your calls and the phones
Your calls
Your numbers and call minutes come from the provider of your phone line, which bills you for them directly. We do not sell numbers, trunks or minutes, so none of it is on our quote.
And the phones
The apps for computers and mobiles come with every edition, so a team on the apps needs no hardware at all. Desk phones are bought separately, and analogue phones can often stay, connected through gateways.
What makes it cheaper, and what makes it dearer
Cheaper
- Sizing the licence to your busiest hour rather than your headcount
- The edition that fits, rather than the top one
- Staff on the apps rather than new desk phones
- Tickets instead of a plan, if you rarely need help
Dearer
- A higher edition, for queues, recording, the CRM or the AI features
- Crossing a user ceiling as you hire
- A server of your own, bought or rented
- Faster support, around the clock
Getting a figure
We put every line in one quote in KES, so nothing arrives later as a surprise. Prices exclude VAT at 16%, and a proforma holds its price for 30 days, whatever the exchange rate does.
To size it, we need two numbers: how many people need a phone or the app, and how many calls happen at once in your busiest hour. Start from the size of your team.
