SACCO, bank and insurance phone systems
Member and claims lines that queue instead of ringing out, calls recorded as evidence, service standards measured rather than guessed at, and branches that call each other at no cost.
What usually goes wrong
“I was told something different”
A member disputes a repayment date, or a claimant what they were told about their claim. Without a recording, it is one person's word against another's.
A service charter nobody can measure
The board wants to know how quickly members are answered. The only evidence is the complaints, and they arrive long after the calls did.
Branches paying to call each other
Staff at one branch ring another on their mobiles or an outside line, and the organisation pays for calls it should not be making at all.
How 3CX handles it
Recording on the lines that need it
Calls recorded from the moment they are answered, found again by number and date, and archived to storage you control. On Pro.
Service standards, measured
Answered within your target, abandoned, and how long people waited, per queue and per officer, with an alert while the day is running if it slips. On Pro.
Branch to branch, at no charge
Branches on one system dial each other by extension. Separate regional systems are joined by bridges, on Pro, so staff still see who is available.
The member's name on screen
With a CRM that 3CX supports, the member's name comes up from it as the call rings, and the call is logged against it afterwards. On Pro.
A line for each service
Loans, savings, claims and general enquiries each get their own queue, so callers reach the officers who can help without being passed along.
Quality checks that read the calls
On AI, calls are transcribed and summarised, with a sentiment score, so a quality team can review far more of them than it could by listening.
A member's call
-
chooses a service
The member calls
One number for every branch and every service.
-
next free officer
Menu and queue
Loans, savings, claims or a branch. Recorded from the moment the call is answered.
-
The officer
Answers with the member's record open, where your CRM supports it, and the call is logged against it.
Recordings stay on the system and are archived to storage you control, with a retention period that follows your policy.
What we set up for you
Calls and evidence
- Queues for each service, with the menu that routes to them
- A recording policy: which lines, the announcement callers hear, who may listen
- Archiving to your storage, with retention on the system and in the archive set to your records policy
Branches and reporting
- A numbering plan across branches, joined by bridges where you run several systems
- The reports your board asks for, sent to the managers who need them
- CRM integration where 3CX supports your system, scoped honestly where it does not
- Training for officers, supervisors and whoever runs the reports

Our recommendation
Pro is the floor here, because recording, service reporting and the CRM link all start there. AI is worth it when a quality team wants to review more calls than anyone could listen to.
Where your policy says the data lives
A dedicated server in Nairobi, or a server of your own, on your premises or in your own cloud account under your own controls. Many financial institutions have a rule about this, and both run the same system.
Questions SACCOs, banks and insurers ask us
Where are call recordings kept?
On the system itself: in Nairobi if we host it, on your premises if you do. From there they are archived on a schedule to storage you control, such as your own file server, a Windows share, SharePoint or a storage bucket in your own cloud account.
Can we keep recordings for a set number of years?
Yes. How long you keep them is your policy: recordings move to your archive on a schedule and are removed from the system itself after the age you set, and the archive keeps them for as long as your records policy says. We configure both with whoever owns records management.
Can we measure answer times against our service charter?
Yes, on Pro. Queue reports show calls answered within the time you promise, calls abandoned and how long people waited, per queue and per agent, and an alert fires while the day is still running if the service level slips.
Does it connect to our core banking system?
If your CRM is one 3CX supports out of the box, the member's name comes up from it as the call rings. A core banking or SACCO system usually needs integration work. We scope it with you before you buy rather than promise it from a brochure.
Can branches call each other without paying for the call?
Yes. Branches on the same system dial each other by extension over your own network or the internet, with no call charges. Groups that run a separate system per region join them with bridges, on Pro.
