SMEs and offices
One number that reaches the right person, the office line on your staff's own phones, a proper greeting after hours, and no server in a cupboard. The phone system a growing business should have had from the start.
What usually goes wrong
The business number is someone's mobile
Clients have the owner's personal number and the salespeople's. When someone leaves, their clients leave with them, because the number was never the company's.
Calls nobody answers after five
Outside office hours the line simply rings. The caller does not leave a message, and tries someone else instead.
Nobody can tell who called
Calls go to whoever picks up, messages are written on paper, and a missed call from an important client is noticed a day later, if at all.
How 3CX handles it
One number, and a menu
"Press 1 for sales, 2 for accounts." The call reaches the person who can deal with it, and nobody has to hand out a personal number again.
The office line on their phones
Staff take and make office calls on the 3CX app, on their mobile or their laptop, and the client sees the company's number either way.
Voicemail that arrives by email
After hours callers hear your greeting and can leave a message, which lands in the inbox with the recording attached.
No server in the cupboard
Hosted in Nairobi, with updates and backups done by us. When the office loses power, calls still reach your staff on the app.
Every call on record
Who called, who answered and who was missed, in the call log, so an important client's missed call is returned the same day.
Room to grow
Adding a person is a few minutes' work. Queues, WhatsApp and video meetings are waiting on Pro for the day you need them.
A call to a small office
-
chooses sales
Your client calls
The one number on your website, your invoices and your signboard.
-
rings the team
The menu
Sales, accounts or the operator. After hours, your greeting and voicemail.
-
Whoever is free
On a desk phone, the app on their mobile, or their laptop.
A message left after hours arrives as an email with the recording attached, so it is waiting when the office opens.
What we set up for you
- Your number: moved to the new system where it can be, forwarded where it cannot
- The menu and the after-hours greeting, recorded with you
- The app on everyone's phone and computer, installed with them rather than emailed to them
- Desk phones for anyone who wants one, connected as router phones or through the 3CX SBC when the system is hosted
- An afternoon of training, and one place to ask when something is not right

Our recommendation
Basic does everything above for most offices. Move to Pro when callers start waiting in a line, or you want WhatsApp or meetings in the same system.
Hosted in Nairobi
A system of your own in a Nairobi data centre, sized to your calls, with updates and backups included: a proper phone system with no server to buy and nothing to maintain.

Questions small businesses ask us
Can we keep the number our clients already have?
Often, yes. Tell us who provides it today and we will tell you whether it can move and how long that takes. Where it cannot, the old number is forwarded to the new system while your clients catch up.
Do our staff need desk phones?
No. Everyone can work from the 3CX app on their mobile and their computer. Desk phones are there for anyone who prefers one, such as reception.
What happens when someone leaves?
Their extension is given to whoever takes over, and the number your clients call stays with the business rather than walking out on a personal phone.
What does it cost?
Three parts: a monthly hosting plan, a one-off setup, and the 3CX licence, which renews each year. All of it in shillings, in one quote, so nothing arrives later as a surprise.
